Returning Student Workspace

Learn about the new Returning Student Workspace

Note: In the workspace side of SME, there is a new top navigation tab called Returning Students.

 

Overview

The Returning Students tab displays a Filter Options section and a table view that displays all the returning student applications.

  • There is an In Progress and Submitted subtab in the table view. The Submitted subtab is defaulted and will display all submitted applications.

    • The student applications displayed in the table view by default from least recently submitted to most recently submitted

    • Some columns are sortable and, when clicked on, will sort in ascending first and then descending order

    • Up to 20 student applications will be displayed at once in the table view

    • The columns that are present on the Submitted subtab are as follows:

      • SID - The student number from PowerSchool SIS

        • Clicking on the SID will push the user to the detailed view of the application

      • First Name - The student’s first name

      • Last Name - The student’s last name

      • Grade - The student’s grade they are entering

      • Address - The student’s address

        • The Address will be highlighted in yellow if it was changed from the address that is stored in PowerSchool SIS

      • Tags - The tags that have been set on the student’s application

        • If there is one tag, it will display as a pill, but if there is more than one tag, it will display a tag icon, allowing the user to click on it to see them all

      • Enrollment Type - The type of enrollment between Full Time or Concurrent

      • Status - The student’s application status

      • Submitted - The date the application was submitted

      • Assignee - The SSP that is assigned to the student application

      • Workflow - The workflow that has been manually set

      • Follow-Up - The date the SSP is requested to follow up with the self-guardian or guardian

  • The Filter Options section contains a search field and different ways to filter the table view.

    • The following columns are searchable:

      • SID

      • First Name

      • Last Name

      • Enrollment Type

    • Status is a dropdown field that will display the following statuses:

      • Pending Approval

      • Pending Delivery

      • Delivered

      • Not Returning

    • Assignee is a dropdown field that will display all SSPs.

    • Include Tags and Exclude Tags allows the user to check any and all tags to include or exclude in the filter.

    • Clicking Apply will apply the search or filter and save this view until it is changed or cleared

    • Clicking Clear will clear the search or filter and set the table view back to its default state

      • Incomplete Sections - The sections that are not complete yet

        • If there is one incomplete section, it will display as a pill, but if there is more than one incomplete section, it will display the number of sections that are incomplete, allowing the user to click on it to see them all

      • Percent Complete - The percentage that application is complete

  • The Filter Options section contains a search field and the ability to filter by the Incomplete Sections.

    • Clicking Apply will apply the search or filter and save this view until it is changed or cleared

    • Clicking Clear will clear the search or filter and set the table view back to its default state.

  • Clicking on the SID of a student application from the table view will display the detailed view

    • The detail view header will display a back button, the student’s name, the ability to navigate between applications, and the student’s SID.

    • There will also be three subtabs which are as follows and a Not Returning and Approve button.

      • Application

        • Each section of the application will display here in a card format allowing the SSP to view the information and edit it if need be.

      • Notes

        • This will display any notes that have been taken and allow for creating notes.

      • Change Log

        • This will display records of changes to the application or cards in the right tray, such as Tags, Documents, and Workflow changes.

    • The Not Returning button, when clicked on, will move the student application to the Not Returning Status.

    • The Approve button, when clicked on, will move the student application to the Pending Delivery status.

    • The right tray holds four cards, which are as follows, and a Reset Application button.

      • Tags

        • Any tag that has been automatically selected or manually will display here as pills and clicking on the dropdown allows the SSP to manually add any if need be.

      • Documents

        • Any documents that have been uploaded from the application will be displayed here, allowing SSPs to download and view them as well as delete them. Also, SSPs can upload documents.

      • Workflow

        • Three workflows are able to be selected. Follow-Up and Recollect will automatically set a Follow-Up Date of 7 days in the future but can be altered if need be.

        • An SSP can also be assigned to this application.

      • History

        • A date, time, and person will display when the application has been submitted, approved, and delivered.

    • The Reset Application button will reset the application, wiping any and all information and making the self-guardian or guardian have to fill out the application again.
